Administrative and Support Services Assistant – General Services Office (GSO)
Summary:
We are seeking a highly organized and detail-oriented individual to provide administrative and support services to our General Services Office (GSO). This role plays a vital part in ensuring the smooth operation of the GSO by handling a variety of tasks, including financial transactions, timekeeping, and communication.
Responsibilities:
Assists the Senior General Services Officer in managing the GSO for two US Direct Hires (USDH), one Eligible Family Member (EFM) GSO Assistant, and 35 Locally Employed Staff.
Functions as the GSO sub-cashier and backup sub-cashier for Facilities Management, handling petty cash and recording transactions in COAST Cashiering software.
Acts as the primary timekeeper for four GSO sections, ensuring accurate and timely recording of employee work hours.
Manages the GSO reception desk, greeting visitors and directing inquiries appropriately.
Maintains the GSO contact database, ensuring its accuracy and completeness.
Drafts professional correspondence, such as emails and letters.
Coordinates meetings and schedules appointments for GSO staff.
Routes documents and invoices for review and signature by GSO Contracting Officers.
Submits access requests for GSO employees through designated systems.
Escorts and assists external clients visiting the GSO.
Qualifications:
Experience: A minimum of three (3) years of prior administrative assistant experience is required, including experience with clerical accounting tasks. Prior experience in an international organization or a large organization (50+ employees) is preferred.
Knowledge:Strong understanding of filing and record-keeping principles.
Proficiency in basic arithmetic.
Familiarity with basic protocol procedures.
Proven time management skills for effectively handling multiple tasks and deadlines.
Working knowledge of MS Office Suite (Excel, Word, PowerPoint) and basic data management software.
Basic understanding of bookkeeping and accounting principles.
Education: Two years of university studies or equivalent experience is required.
Languages: Good working knowledge (reading, writing, and speaking) of English and French is required.
Skills and Abilities:Typing speed of at least 40 words per minute.
Proficiency in using office equipment (copiers, fax machines, computers, printers, scanners, telephones).
Excellent accuracy in data entry and information exchange.
Tactful and diplomatic communication skills for phone calls and interactions with internal and external clients.
Strong listening and judgment skills.
Ability to develop and maintain positive relationships with colleagues and clients.
Excellent organizational and interpersonal skills.
